Bringing a global team to Madrid

Earlier this year, we had the opportunity to plan and produce a global offsite in the heart of Madrid for a major tech company’s leadership and sales team. With over 250 attendees flying in from across the world, the brief was clear: create a memorable, inspiring experience that would energize the team for the year ahead and make logistics feel seamless.





Vision, Goals & Connection

This offsite was more than just a meeting, it was a pivotal moment to align on 2025 sales goals, unveil upcoming product releases, and bring together global teams who typically collaborate virtually across multiple timezones. The energy in the room was electric as leaders shared insights, set ambitious targets, and reconnected after a year of rapid growth and change.

The Logistics: From Flights to Fine Dining

Managing an event of this scale meant every detail mattered. I was responsible for:

  • Accommodation booking for all international guests in a hotel that could accomodate the event infrastructure in central Madrid

  • Venue sourcing for multi-day sessions and breakouts, ensuring both functionality and charm

  • Dinner reservations and private dining experiences, including a rooftop welcome cocktail reception and dinners at the iconic Tatel Madrid and Circolo Popolare

  • Swag creation and distribution that reflected the brand’s personality and purpose

  • End-to-end production, from branded signage and registration to AV, tech support, and on-the-ground coordination

  • Farewell party, that was done at the amazing nightclub to round out a solid event

The Impact: Leaving Energized

Throughout the week, the feedback was overwhelmingly positive. The offsite struck the right balance between strategic focus and cultural immersion. Teams walked away with clarity, connection, and renewed energy, ready to take on the challenges and opportunities of 2025.

Planning global experiences like this is always a challenge, but seeing attendees leave inspired, connected, and aligned makes every moment worth it.
